Booking Agreement

Luxe Tees and Trails design and host luxury golf retreats that combine the elegance of golf, the grounding of yoga in nature, and the indulgence of self-care. “We,” “us,” and “our” refer to the organizing entity. “You,” “your,” or “participant” refers to the person booking and all individuals under the same reservation.

By submitting a reservation, registration, or payment, you agree to enter into a binding contract and accept all terms and conditions. The primary traveler must be at least 18 years old at the time of booking.

Deposits and Payments

A non-refundable deposit is required at the time of booking to confirm your reservation. Luxe Tees and Trails accepts most major credit cards and utilizes trusted third-party payment platforms.

To complete a credit card transaction, the cardholder must provide a valid billing address and security code through a secure payment portal. By submitting payment, you acknowledge and agree to the Terms and Conditions set forth by Luxe Tees and Trails.

Late Payment Fees:
To help ensure timely payments, our system sends payment reminders seven (7) days before, three (3) days before, on the due date, and a late payment notice two (2) days after the due date.

A $100 late fee will be charged if the balance remains unpaid three (3) days after the due date. Additionally, Luxe Tees and Trails reserves the right to cancel any booking if the full payment is not received within ten (10) days following the due date. Trip details, communications, and itineraries will only be provided once all payments are complete.

Cancellation and Refund Terms

Luxe Tees and Trails are required to remit payments to all suppliers and vendors well in advance of the retreat start date. These payments cover, but are not limited to, accommodation, meals, green fees, transportation, and other related services. Each supplier and vendor maintain their own cancellation policies, which will govern your booking.

In the event you need to cancel your reservation, you must provide written notice to Luxe Tees and Trails at info@luxeteesandtrails.com immediately. Your cancellation will be considered confirmed only upon receipt of written acknowledgment from Luxe Tees and Trails.

Any refunds due will be processed and issued within 30 days of receiving your confirmed written cancellation.

Unused Services

Once your retreat begins, any unused or partially used services are non-refundable. This includes, but is not limited to, missed meals, golf experiences, excursions, transportation, or other activities outlined in the itinerary.

Cancellations 90 Days Prior to Retreat
Cancellations made 90 or more days before the retreat start date are eligible for a full refund, less the non-refundable deposit.

Cancellations 60 Days Prior to Retreat
Cancellations made within this window will not receive a cash refund. However, a credit will be issued—minus the non-refundable deposit—for use toward a future Luxe Tees and Trails getaway.

Cancellations Within 30 Days of Retreat
Unfortunately, no refunds or credits will be provided for cancellations made 30 days or less before the retreat begins.

Changes and Cancellations by Luxe Tees and Trails
Luxe Tees and Trails reserves the right to modify or cancel any retreat at our discretion. In the unlikely event that we must cancel a scheduled getaway, participants will receive a full refund of all payments made, processed within 10 business days.

Each retreat requires a minimum number of confirmed participants—at least 50%—no later than 45 days prior to the start date. If this minimum is not met, we reserve the right to cancel the retreat and issue a full refund.

Additionally, Luxe Tees and Trails may cancel or adjust retreat activities due to unforeseen circumstances such as severe weather or natural events that could impact the safety or overall experience of our guests. Should this occur, we will notify you promptly and offer appropriate alternatives or applicable refunds.

Email & Contact Details
Prior to the retreat, we’ll primarily communicate with you via email. During the retreat, important updates and coordination will be shared through text messages and phone calls. To ensure you stay informed, please notify us promptly of any changes to your email address or phone number.

Weather Conditions
Weather is naturally unpredictable and may impact scheduled activities. While we do our best to proceed as planned, Luxe Tees and Trails is not responsible for changes or cancellations due to inclement weather. Unfortunately, refunds cannot be issued for golf or other retreat experiences affected by weather conditions.

Media Release

By attending the Retreat, you grant Luxe Tees and Trails permission to capture photographs, video, and audio recordings that may include your image, voice, or likeness. We reserve the right to use this media in any current or future promotional content, programs, or materials—without additional approval or compensation. You waive any right to inspect or approve the final content and release Luxe Tees and Trails from all claims related to its use.

Air Travel

Airfare is not included in any retreat packages and is the sole responsibility of the traveler. Travelers must arrange and purchase their own airfare, and any issues related to airline travel, including cancellations, delays, lost luggage, missed connections, or additional fees such as change or cancellation charges, must be addressed directly with the airline. Luxe Tees and Trails strongly recommends securing travel insurance through the airline or a comprehensive travel insurance plan to protect against unforeseen expenses.

Travelers should not book their flights until receiving official confirmation of their booking with Luxe Tees and Trails. Your contract for airfare is exclusively with the airline carrier and subject to its terms and conditions. Luxe Tees and Trails assumes no liability for any flight disruptions or additional costs incurred.

Participant Waiver, Release of Liability & Disclaimer

By registering for and participating in the Luxe Tees and Trails Retreat (“Retreat”), you acknowledge and agree to the following terms:

Voluntary Participation
You are voluntarily choosing to participate in this Retreat and assume full responsibility for your physical, emotional, and mental well-being before, during, and after the event. You understand that your participation is entirely at your own risk.

Health & Physical Condition
You affirm that you are in good health and capable of participating in the Retreat activities. You understand that these activities may involve physical movement, outdoor exposure, or emotional exploration, which carry inherent risks. You agree to participate only in activities that feel safe and appropriate for you. You assume all risks associated with your participation, including but not limited to illness, injury, allergic reactions, or other medical conditions.

Medical & Dietary Responsibility
You are solely responsible for informing Luxe Tees and Trails in writing of any known medical conditions, allergies, sensitivities, or dietary restrictions at least 30 days prior to the Retreat. Luxe Tees and Trails is not responsible for food preparation, handling, or contamination and accepts no liability for adverse reactions to food, beverages, or products provided by third parties.

No Medical or Psychological Services
This Retreat is not intended to diagnose, treat, or cure any medical or psychological condition. The facilitators are not licensed healthcare providers and do not offer medical, psychological, or nutritional advice. You are advised to consult with your physician or mental health provider before, during, or after the Retreat regarding any concerns, medications, or changes to your health routine.

Emergencies & Consent for Care
In the event of a physical or mental health emergency, you consent to the administration of first aid or emergency care as deemed necessary. You authorize Luxe Tees and Trails or its agents to contact your designated emergency contact and share pertinent information related to your health and safety, without liability.

Participant Conduct
You agree to follow all instructions, guidelines, and safety protocols provided by Luxe Tees and Trails and its team. Disruptive, unsafe, or harmful behavior toward yourself, others, or the environment may result in your immediate removal from the Retreat at the sole discretion of the Retreat Facilitators, without refund or compensation.

Assumption of Risk & Waiver of Liability
You understand that participation involves risks, including but not limited to personal injury, illness, emotional distress, or in rare cases, death. You voluntarily accept all risks and agree to release, indemnify, and hold harmless Luxe Tees and Trails, its owners, staff, affiliates, and partners from any and all claims, liabilities, damages, or expenses arising from your participation.

No Guarantees
While the Retreat is designed to support your personal growth and enjoyment, individual experiences and outcomes vary. Luxe Tees and Trails makes no guarantees regarding specific results, and you acknowledge that your participation and the value derived from the experience are entirely your own responsibility.

Limitation of Liability, Indemnification & Release of Claims

By participating in the Retreat and related Program Activities, you agree to release Luxe Tees and Trails, its affiliates, employees, contractors, and partners (“Retreat Facilitator”) from any and all liability for damages, loss, or injury arising out of your involvement—before, during, or after the Retreat. This includes, but is not limited to, reliance on any information provided, personal emergencies, theft, lost or damaged belongings, illness, accidents, travel delays, or use of hotel facilities, except where caused by gross negligence or as otherwise required by law.

You acknowledge that participation involves inherent risks, and you voluntarily assume all such risks. Luxe Tees and Trails is not liable for any direct, indirect, incidental, special, or consequential damage caused by you, another participant, third parties, unforeseen events, or circumstances beyond our control.

You agree to fully indemnify and hold harmless Luxe Tees and Trails and its team from any claims, demands, suits, or actions brought by you, your heirs, family members, company, or any third party in connection with your participation in the Retreat and Program Activities.

Retreat Code of Conduct

By attending the Retreat, you agree to conduct yourself in a respectful, responsible, and courteous manner toward all participants, facilitators, staff, third parties, and property. You agree to comply with all applicable laws, rules, and regulations. You are solely responsible for any damage or disruptions caused by your negligent, reckless, or intentional actions.

Entire Agreement
This document represents the complete and exclusive agreement between the parties regarding travel arrangements with Luxe Tees and Trails. It supersedes all prior discussions or agreements, whether written or oral. No modifications may be made after your initial deposit unless agreed to in writing by all parties.

Severability
If any part of this agreement is deemed invalid or unenforceable, the remaining provisions will remain in full effect.

Confidentiality
Neither party may disclose confidential information without the written consent of the other.

Governing Law & Venue
These Terms & Conditions are governed by the laws of the State of Nevada. All legal matters must be filed in a court of competent jurisdiction located in Nevada. You agree not to bring claims against Luxe Tees and Trails as part of a class action. Only compensatory damages may be pursued; punitive damages are expressly waived.

Notice of Claim
You must provide a written (not emailed) notice of any claim within 30 days of the retreat or its cancellation. Claims submitted after this period will not be considered. Additionally, issues must be reported during the retreat to allow Luxe Tees and Trails a fair opportunity to resolve them.

Changes to Terms
Luxe Tees and Trails reserves the right to update these Terms & Conditions at any time. Changes take effect immediately upon posting to our website. Continued use of our services or maintaining a booking constitutes acceptance of the revised terms.

Participant Agreement

This Agreement is entered into between Luxe Tees and Trails (“Organizer”) and the individual participant (“Participant”) attending the retreat organized by Luxe Tees and Trails.
